Whiting Consulting is searching for a Proposal Coordinator for our client based in the New York City area. Reporting directly to the Proposal Manager, responsibilities of the Proposal Coordinator include the following.
Responsibilities
Compiles materials for proposals, ensuring the client’s requirements are fully met. This involves fully comprehending RFP/RFQ requirements, conducting search for appropriate materials, such as related project descriptions and resumes of project personnel.
Writes portions of the proposal, including but not limited to, introduction, overview, project approach, and cover letter.
Requires complete follow through of copying, assembling final proposal packages, and tracking package delivery.
Completes various forms, such as SF254, SF255, SF330, etc.
Registering for prequalification to do business with vendors.
Produces presentations and work products for interviews/business development.
Provides general research for potential leads/new projects.
Participates with the Proposal Manager in the selection and recommendation of the appropriate projects and personnel to be included in proposal according to the Request for Proposal (RFP).
Proofreading, editing, and standardizing proposal text for proper grammar, spelling, comprehension, and style.
Participate in the implementation of strategic marketing initiatives to help meet vision statement and Corporate Marketing Plan goals.
Maintains RFP/proposal folders for all active accounts.
Participates in conferences, events and trade shows (as needed).
Creates, implements, and enforces a consistent company identity via document templates, letterhead, logo usage, etc.
Any special projects, as required.
Requirements
Must have a B.B.A. in English and/or Marketing.
Must have experience with proposals in the A/E/C industry; preferably at least 2 years of experience.
High-proficiency in Microsoft Word, Excel, PowerPoint, Adobe InDesign, and Deltek Vision.
Adobe Photoshop and other graphics programs desirable is a plus.
Motivated self -starter who can lead proposal process from pre-RFP planning through delivery. Strong knowledge of proposal development process is preferred.
Highly-organized, creative, solution-oriented and team-focused.
Must have strong interpersonal relations skills, communication skills, enthusiastic attitude, leadership ability and excellent work ethic.
Flexibility to work with a variety of team members and dynamic project demands.
Available and willing to work under pressure with overtime, as necessary.
Excellent written and verbal skills including the ability to communicate with all levels of staff.
Strong organizational and time management skills and proven ability to multi-task and prioritize.
